Introducing DocXchanger™
DocXchanger allows users to easily discover and securely access their network storage from any location and provides powerful, interactive document sharing capabilities with this network storage. With DocXchanger, organizations can eliminate the costly practice of sending email attachments by sharing network-stored content through “sharing links.” DocXchanger through its identity-based architecture provides users the means of discovering defined network storage areas without the need for network drive mappings and login scripts. Network-stored documents can then be accessed securely for reading or writing. Finally, both files and folders can be shared with recipients both inside and outside of an organization, with access rights governed by policies defined by the administrator.

Discovery and Access
DocXchanger is an identity-based technology that leverages the power of the directory services, rather than network login scripts and drive mappings, to discover and provide access to designated network storage areas.
Whether you are onsite or working from a remote location, DocXchanger offers you fast discovery and access to network storage resources using multiple access methods: DocXchanger Web Access and the DocXchanger Client.
DocXchanger Web Access
Using an Internet browser such as Internet Explorer or Mozilla Firefox, DocXchanger users can access designated network storage areas over an HTTPS-based connection though the means of context-less authentication.
The DocXchanger Web Access interface allows sharing link recipients inside and outside an organization to access sharing link content through a web browser.
DocXchanger Client
The DocXchanger Client is a thin client for Windows workstations that integrates with the Windows desktop operating system. It provides options for displaying local and network file hierarchy.

The DocXchanger Client provides a multi-paned view of storage areas from the directory tree, down to individual files. The upper and lower panes allow for file and folder copying between the network storage area and the local workstation hard disk.
The DocXchanger Client is a multi-paned resource area for viewing and accessing designated network storage areas to which the user is entitled access. In the left-hand pane users can view from the directory tree level down to individual files. The upper and lower panes allow for file and folder copying between the network and the local hard disk through drag and drop.
The DocXchanger Client has a powerful direct access feature that lets users open displayed network-stored files by double-clicking. The file is then downloaded into a memory cache where it can be read or modified. Depending on user rights, if the user modifies the file, it is automatically saved back into the network directory quickly and easily.
File Sharing and Eliminating Email Attachments
DocXchanger’s powerful file sharing capabilities eliminate the need for email attachments altogether by allowing “providers” to grant intended “consumers” access to files or entire folders from its stored location on the network. Furthermore, this access is available to specified consumers both inside and outside of the organization. The network administrator sets policies and rules for governing when the files or folders can be accessed and what rights the consumer has to these resources.
DocXchanger allows providers to share files or folders in a variety of ways. One that users will find most intuitive is through the Send To menu. From a Windows location on the desktop, simply locate the file or folder you wish to share, right-click it and select Send To > DocXchanger Sharing Recipient.

Users can send sharing links through the Send To feature in Windows. DocXchanger then guides them through steps to creating and sending the sharing link.
DocXchanger Web Access makes this same sharing possible over the web using a secure web connection. DocXchanger Web Access can be run from a web browser on a Macintosh, Linux, or Windows workstation.
Once a file or folder has been designated for sharing, DocXchanger creates a “sharing link” where the provider can specify the consumer, the span of time for access, the consumer’s rights to the file or folder, and any message he or she wants to share with the consumer.
DocXchanger then sends an email message to the consumer(s). For consumers outside of the organization, the message includes options for accessing the sharing link through either the DocXchanger Plug-in or a Web browser and with or without password access to the sharing link.
The DocXchanger Plug-In is the recommended method of sharing link access because of its drag and drop upload and download capabilities for external consumers with read/write rights.

Using the DocXchanger Plug-in, a user can easily copy between his or her workstation hard disk and the network areas where he or she has been given access. In this example, the user is uploading a “Proposal” file to the “Expenses” folder through drag and drop.
A consumer inside of the organization also receives an email message that includes the sharing link for direct access through the workstation operating system. This direct access is controlled by standard network server file system security.
DocXchanger provides the desktop operating system with a way to “remember” these links for the defined lifespan of the sharing link. This makes it easy for internal users to use the shared storage repeatedly without having to reopen email messages each time to access the files.
Administrator Control
Ultimately, the network administrator controls the security of the system and the constructs under which DocXchanger operates. Using the Web-based management interface, the administrator controls:
- Who can create and receive sharing links
- What rights users need to create sharing links
- What files or folders can be shared
- The lifespan of sharing links
- Rights that providers can give to consumers
Server Requirements and File System Support
DocXchanger can be hosted on a NetWare 6.5 server (with Service Pack 6) or above or a Novell Open Enterprise Server running NetWare 6.5 through virtualization.
DocXchanger supports the NSS file system on both NetWare and Novell Open Enterprise Server, Ext3 and Reiser on Novell Open Enterprise Server, and the Traditional NetWare File System.

Despite the increasing storage capacity of today’s personal computers, organizations continue to mandate and enforce policies for storing data files on network file servers rather than on workstation hard disks. The reasons for organizations favoring network storage over local storage are varied, but some notable reasons include the ability to share and develop files collaboratively with other network users, provide more security to address the risk of unauthorized access, and serve as a backup resource in the event of lost workstation data.
But users today need quick access to this network-stored data no matter where they may be at a given time. Additionally, remote access should not impede the interactive development of files between users of network-stored files. Q: What does DocXchanger do?

Q: How does DocXchanger discover network-stored documents?
A: Once a user authenticates to a directory tree, DocXchanger uses eDirectory attributes and group membership to discover the user’s home directory and collaborative storage locations. DocXchanger also discovers Novell Storage Location objects and DocXchanger resources configured by the network administrator. All discovery is identity-based, eliminating the need for users to know where their storage is located on the network, and the manual process of mapping network drives to that storage.
Q: I’ve always shared files through email attachments. Why is that such a bad idea?
A: File sharing via email attachments creates unnecessary storage demands on the network, adds storage costs, introduces versioning control issues, creates security problems, and disregards the organization’s network storage infrastructure.
Q: How do I access documents from a sharing link?
A: A sharing link notification message is sent to recipients within or outside and organization through regular email. For recipients outside of the organization, the message includes options for accessing the hyperlinked sharing link through either the DocXchanger Plug-in or a web browser.
A recipient inside of the organization also receives an email message that includes the hyperlinked sharing link for direct access through the workstation operating system. This direct access is controlled by standard network server file system security.
Q: Is DocXchanger a content management product like Microsoft SharePoint?
A: DocXchanger certainly provides the collaborative file sharing and development capabilities of a full content management system, but DocXchanger’s discovery and access capabilities, and utilization of the existing network infrastructure (rather than requiring new servers, databases, etc.) really put it in a separate product classification altogether.
Customers that are considering a full content management system will certainly want to look at DocXchanger first to see if its collaborative file sharing and development capabilities address the main reasons why they are considering a much higher priced content management system and perhaps, save money with DocXchanger.
Q: My office follows industry guidelines for security including password authentication for all network-stored documents. DocXchanger sounds like a great product, but is there some way to satisfy our guidelines for password authentication before accessing documents through a sharing link?
A: For compliance with policies such as the Sarbanes-Oxley Act, DocXchanger offers an option for requiring external users to authenticate with a password before they are able to access a sharing link. Specifically, the user must enter both the email address to where the sharing link was sent, and a password that was previously provided to the recipient by the sender.
Q: We use Macintosh workstations at my work. Can we still use DocXchanger to access and share files?
A: Absolutely. DocXchanger Web Access can be run from a web browser on a Macintosh, Linux, or Windows workstation. DocXchanger Web Access includes all of the file discovery, access, and sharing capabilities of the DocXchanger Client.
Q: Does DocXchanger let me share more than one file at a time?
A: Yes. DocXchanger lets you share entire folders if you wish. This capability is unique to DocXchanger. Other products only let you share one file at a time. DocXchanger delivers the ability to create sharing links to folders. This feature allows you to create shared folders for short duration projects without having to get the company IT department involved.
Q: I want to recommend DocXchanger for our organization but I am concerned about the time it will take for our users to learn to use the product.
A: DocXchanger is very intuitive and requires little to no training to use. Creating a sharing link for a file or folder is as easy as right-clicking and selecting Send To > DocXchanger Sharing Recipient. This walks you through a step-by-step process of helping you set the parameters of the sharing link, the message that you will send to the recipients, and who those recipients will be.
Accessing and sharing files through the DocXchanger client in Windows is equally intuitive using a multi-paned interface for file uploading and downloading.
Q: What is the difference between accessing a sharing link using the DocXchanger Plug-in and through a web browser?
A: DocXchanger provides external users two options for accessing sharing links: DocXchanger Web Access and the DocXchanger Plug-in for External Users. Deciding which access option to use depends on your situation, preferences, and how you will use the sharing link.
For example, DocXchanger Web Access provides access to sharing link content through a simple interface optimized for web browser access. The DocXchanger Plug-in is a more robust interface offering a split pane view of local and network content and easy drag and drop capabilities.

Q: There are certain areas of the network that are confidential and we do not want users creating sharing links within these areas. Can DocXchanger be configured to only share certain network areas?
A: Yes. DocXchanger lets the network administrator define the level of security within DocXchanger including which areas of the network can be set as shareable and which areas will be strictly off limits to sharing.
In addition to this security setting, there are settings for who can share files, restrictions for internal and external recipients, what inherent rights must be in place before file sharing can take place, the lifespan of a sharing link, and more.
Q: I maintain a pricelist of automotive parts to automotive parts stores all over the country. It seems to me that I could keep my customers up to date on my prices by creating a non-expiring sharing link to my parts spreadsheet, and then updating it each month. Can it really be this easy?
A: Absolutely! As long as your network administrator allows for non-expiring sharing links to be created, you can assure that whenever you update your network-stored pricelist, that your customers will have access to it. Furthermore, as you add or delete customers, you can simply edit the recipient list witout changing the location of the pricelist.
Q: What are the server and workstation requirements for DocXchanger?
A: Version 1 of DocXchanger runs as a Novell Loadable Module and is hosted on a NetWare 6.5 SP 6 server or a Novell Open Enterprise Server 2 running NetWare 6 in a virtualized state. Future plans are to expand the host options to other operating systems.

DocXchanger™ license pricing follows an annual subscription model. User license pricing is on a sliding scale based on the volume of licenses purchased.
While you may purchase user licenses at any time and in any user count, we recommend that you plan for anticipated growth within the group or organization that will be using DocXchanger by purchasing the licenses needed for future users beforehand and thus, benefit from our volume discount pricing.
A Note about User Count
DocXchanger builds an internal user index based on administrator-defined parameters and periodic scans of the directory tree based on the administrator's defined parameters. License count is based on the number of entries in this user index.
Depending on how DocXchanger is deployed, the user index can range from all of the users in the directory tree to any specific subsets within, including specific organizational units (OUs), groups, or users.
For DocXchanger to be enabled for your organization, your license count must therefore meet or exceed the number of users in the user index. For example, if you enable all users within a directory tree container to use DocXchanger and the user index lists 6,742 users, you will need a license with a minimum user count of 6,742.
